Position Description​:

This role reports to the Executive Director, and will primarily be responsible for: coordinating the Executive Director’s schedule; scheduling BC3 meetings and events; submitting expense reports and controlling other admin functions. This position is great for someone who has previous experience as an Executive Assistant, Admin, and/or Project Coordinator who wants to gain a deeper understanding of the climate/sustainability field, and loves to support a hard working, fun and down to earth team that gets a ton of stuff done.

Key Responsibilities:

  • Provide full administrative assistance to the Executive Director that ensures outstanding communication and responsiveness.
  • Maintain Director’s weekly schedule with sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagement management.
  • Provide general administration and operations support (ex: submitting expense reports & reminding team about submitting timesheets)
  • Support in organizing meetings, events, retreats, offsites and other convenings.
  • Support the Executive Director in email communications, organizational operations actions, and other special projects as assigned.
  • Take meeting notes & scan meeting notes for actions needed - bring these back to team
  • Conduct research and analysis on issues of interest to the Executive Director.
  • Support Executive Director and team with developing Power Point Presentations for meetings
  • Requires email and calendar check in at least once a day Mon - Fri

You will excel in this role if you have:

  • Excellent time management, follow-through, organizational and project management skills
  • Keen attention to detail, and drive for developing and maintaining organized systems
  • Strong oral and written communication skills & relationship building skills
  • Outstanding problem solving skills and adaptability, especially when it comes to calendar scheduling, email response tracking, and managing projects of various sizes.
  • Comfortable working with diverse stakeholders virtually and in-person (corporate leaders and employees, community groups, contractors, board members, etc.)
  • Good working knowledge and comfort with platforms including Google Suite (G-Mail, Google Drive, and Google Slides), Zoom, and aptitude to quickly learn new software required. Salesforce knowledge is a plus.
  • Ability to identify priorities, balance multiple projects as well as long and short-term priorities, and get things done with limited supervision
  • Self-motivated, ability to work independently and as part of a team (mostly virtual).
  • Passion for sustainability, climate change and/or environmental impact as well as a commitment to justice, equity, diversity and inclusion (JEDI)

Salary:

Salary range for this position is $29-32 per hour based on experience and skills. We believe balance and personal sustainability are important therefore work hours are flexible.
