The Procurement Manager is responsible for overseeing the procurement and delivery of all equipment and materials necessary for business operations throughout Washington and Oregon. They will  have a deep understanding of logistics, inventory management, and procurement, as well as the ability to work collaboratively with internal and external stakeholders. They will need to develop and implement strategies for optimizing our product ordering and delivery process to increase profitability.

Develop strong relationships with outside suppliers and manufacturers while ensuring the company receives optimal pricing, up to date product info and availability, favorable credit terms, and a steady supply of delivered products.

The Procurement Manager will lead discussions in recommending which products to offer our residential and commercial clients. They will maintain an internal list of approved products, including current pricing, available supply, relevant technical specifications, and any distinct selling points or targeted customer segments.

The Procurement Manager is also responsible for ensuring the proper tracking, reporting, and accounting of all purchasing & warehouse related activities.

They report to the COO and directly manage the Purchasing and Warehouse teams. Additionally, there will be regular coordination with employees across the company, including the Accounting, Project Management, Installation, Design, Estimating, and Sales teams.

Responsibilities

PLANNING & FORECASTING

  • Responsible for developing strategies to optimize the future availability and pricing of products
  • Work in conjunction with internal teams and external partners to forecast product demand
  • Manage and track budget and expenditure related to procurement and purchasing activities

VENDOR RELATIONS

  • Develop and maintain strong, personal relationships with suppliers and manufacturers
  • Monitor and negotiate competitive pricing, favorable contract  & credit terms, and product supply
  • Maintain regular communication with outside vendors so that new product info, sales strategies, pricing changes, and current availability can be shared with in-house teams
  • Monitors the performance of suppliers, assessing their ability to meet quality and delivery requirements;

ORDER MANAGEMENT

  • Ensure timely and accurate purchase orders by purchasing team for projects and stock materials
  • Develop and refine standardized procurement processes and methodologies
  • Ensure on-time delivery and accuracy of all orders received by warehouse team

INVENTORY & WAREHOUSE

  • Optimize inventory quantities and reduce inventory costs for operations
  • Ensure that inventory data remains accurate and updated in software tracking tools
  • Ensure accurate and organized records of incoming, outgoing, and stocked materials
  • Cash cycle management in regards to ​​sourcing, purchasing, payment, and inventory management.

PRODUCT SELECTION & TRACKING

  • Collaborate with Sales and Estimating teams to determine commercial and residential product offerings
  • Solicit feedback from Installation and PM teams for types and quantities of preferred consumables
  • Provide frequent updates on product availability, pricing, and ordering strategy to sales and project teams
  • Maintain and develop a technical product knowledge

PERSONNEL MANAGEMENT

  • Coach, guide, and assist in the professional development of direct reports
  • Organize and lead recurring meetings with Purchasing and Warehouse teams
  • Conduct bi-annual performance reviews brief & weekly check-ins with each team member

Requirements

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and negotiation skills with a proven ability to create and maintain positive working relationships with vendors, suppliers, shippers, and customers.

  • Ability to create spreadsheets for tracking and organizing
  • Proficient with Microsoft Office Suite or related software.
