The Farmlink Project is a non-profit organization that connects farms with surplus to food banks to feed people in need, reduce carbon emissions & empower the next generation of changemakers in the food system. The Farmlink Project is a virtual organization with ~20 employees. This is a fully remote position; we are accepting applicants in all U.S. time zones.
Job Summary
Reporting directly to the Strategic Finance Manager, the Development Operations Associate plays a critical role in ensuring the accuracy, efficiency, and effectiveness of donation processing, CRM management, and donor stewardship. This role is responsible for timely and accurate gift entry, reconciliation with finance systems, and the issuance of tax receipts, while also collaborating cross-functionally to ensure donations are properly classified and reported. They oversee the organization’s CRM, managing data structure, integrations, field configurations, campaign tracking, and automations to support clean, actionable data. Additionally, they support donor engagement by maintaining donor lists, fulfilling reporting needs, responding to donor inquiries, and implementing systems that enhance stewardship and personalized outreach.
Key Responsibilities
Donation Processing and Data Integrity
- Accurately enter and process all donations in a timely manner, ensuring proper capture in all relevant systems.
- Collaborate with Finance and Development teams to classify donations correctly by product, segment, soft credit, and other relevant attributes.
- Reconcile donation data regularly between the CRM and general ledger to ensure consistency and accuracy.
- Generate and issue daily tax receipts to donors.
CRM Management and Maintenance
- Oversee and maintain the CRM system, including data structure, system updates, and migrations.
- Manage and optimize field configurations to ensure effective tracking of key data points (e.g., event participation, campaign engagement, donor touchpoints).
- Support creation and maintenance of donor lists for events, campaigns, and targeted outreach.
- Lead campaign tracking efforts, including FRU & CRM synchronization, campaign code creation, and performance tracking.
- Develop and oversee data cleaning processes, ensuring high data integrity through routine and ad hoc audits.
- Build and maintain reports and dashboards to support the Development and Operations teams.
- Train fundraisers and team members to use the CRM effectively and independently.
- Support system integrations (e.g., Mailchimp, FRU) to ensure smooth data flow across platforms.
- Implement and manage automations to streamline CRM workflows and donor engagement activities.
- Perform bulk data uploads and updates (e.g., events, conferences, fundraising data).
- Maintain clear documentation of CRM processes, data standards, and reporting protocols to ensure organizational consistency and continuity.
Donor and Internal Reporting
- Ensure timely issuance of tax receipts and annual giving summaries for all donors.
- Develop and implement systems to automate donor reporting and stewardship processes.
- Serve as the first point of contact for donor inquiries, including updating payment information, managing recurring gift cancellations, and coordinating merchandise fulfillment.
- Update actuals in the Revenue forecasting tool on a monthly basis.
- Support special revenue reporting needs at year-end and other key moments.
- Support Development in Major Donor impact reporting and the operations of specific Major Donor campaigns.
- Serve as the point person for aligning donor campaigns with programmatic initiatives, ensuring accurate tracking, reporting, strategic coordination across teams and the development of internal business rules.
- Support initiatives to document and improve organizational processes related to fundraising operations and donor management (e.g., online donation restrictions, matching gifts, pledge processes).
Compliance and Other Duties
- Oversee state charitable solicitation registrations in partnership with charitable registration compliance partner, ensuring timely filings and maintaining accurate internal records.
- Act as the liaison with charitable registration compliance partner and coordinate documentation and approvals as needed for compliance across applicable states.
- Assist with donor stewardship efforts, including thank-you calls and personalized outreach.
- Other duties as assigned.
Qualifications
- 2–4 years of experience in development/fundraising operations, data management, or nonprofit CRM administration
- Proficiency with CRM platforms
- Strong Excel/Google Sheets skills, including data cleaning, imports, and report building
- Experience with donation processing and financial reconciliation
- Ability to manage multiple systems and integrations (e.g., Mailchimp, QuickBooks/GL)
- High attention to detail and commitment to data integrity
- Excellent communication skills and ability to train/support non-technical team members
- Experience with donor stewardship processes, including receipting and acknowledgment workflows
- Experience with CRM or data system migrations, including planning, mapping, and implementation preferred
- Experience with complying with state charitable solicitation registrations preferred
- Commitment to the mission of addressing food insecurity and promoting food justice
Salary
$70,000 - $74,000 per year
