Context and Role Purpose

The main purpose of the role is to work with the Regional Programmes team and the Grant Finance Coordinator to ensure accurate and timely management of our programme partners’ finances, facilitating forecasting and reporting of expenditure, collecting and reviewing supporting evidence for all expenditure incurred by our partners in the framework of our programmes.

Main Tasks

Partner finances:

• Liaise with the Regional Programmes Coordinator and programme partners in West Africa to establish and review budget forecasts for agreed activities

• Receive and review partners’ monthly finance reports and review them for accuracy, variation, and against approved budgets and workplans. Liaise with the Grant Finance Coordinator and the Regional Programmes Coordinator as needed.

• Receive and review supporting evidence for each line of expenditure reported by partners and follow up when additional evidence or information is needed.

• Support the partner’s finance team to maintain accurate and up-to-date project budgets.

• Review and ensure accuracy of quarterly financial budget forecasts, which include staff costs in addition to activity budgets.

• Support the finance and advocacy programmes teams, when required, in preparing finance reports and grant modification or extension requests for donors.

• Support the Grant Finance Coordinator to maintain accurate and up-to-date budget trackers for our West Africa programmes.

• Facilitate exchanges and communications between the Grant Finance Coordinator and the project partners on matters related to finances.

• Work with project partners, the Grant Finance Coordinator and the regional advocacy programmes team to develop final financial reports for our projects.

• Support the Grant Finance Coordinator to complete annual audits by liaising with partners to collect and provide required supporting information.

Programme development:

• Support the Fundraising, Programmes and Finance teams to develop partner budgets and budget narratives for funding applications, in line with donor requirements.

• Support our programme partners to develop budgets for funding applications, in line with donor requirements.

• Once funding is secured, support the Grant Finance Coordinator to develop and maintain budget and reporting spreadsheets for our programme partners, which will be used for reporting and forecasting.

Other:

• Support the Regional Advocacy Programmes team and the Finance team to develop and implement new processes, procedures and policies, as needed.

• Any other reasonable tasks as requested by the Head of Regional Advocacy Programmes to support the smooth and timely implementation of our programmes.

Person Specification

Essential

• Experience in the development and monitoring of project budgets.

• Very organised and with an eye for detail.

• Fluency in English and French, both written and oral.

• Good knowledge and experience of using MS Office applications, and particularly excel.

• Experience in purchase ledger using a computerised accounting system.

• Ability to work systematically and calmly in a busy environment, and to meet deadlines.

• Have a ‘customer-focused’ attitude to supporting project partners and ASI staff, whilst balancing with the need for internal controls and processes.

• Self-motivated and comfortable to find solutions to technical and administrative problems.

Desirable

• Exposure to processing invoices and payments to overseas suppliers in foreign currencies.

• Part qualified or qualified in a professional accounting qualification.

• Experience of working in the charity sector.

Summary Terms and Conditions

• The position is based in Anti-Slavery’s office in Vauxhall, London, with a minimum of one day per week in the office.

• Annual leave entitlement is 30 days (pro rota) plus bank holidays.

• Very occasionally there may be a requirement for some out-of-hours work, for which time in lieu is given.

• We pay 6% into our recognised contribution pension with TPT Retirement Solutions, with a mandatory employee contribution of 2%.

• The role is subject to a probationary period of two months.
