The Opportunity
Greenwich House is seeking a highly organized, proactive, and detail-oriented Grants Manager to support the management of a growing institutional grants portfolio representing approximately 40–50 private foundation and government contracts. This role serves as a key operational partner within the Development team, helping ensure that proposals, contracts, reports, renewals, budgets, and related grant activities are completed accurately and on schedule.
Working closely with the Director of Institutional Giving, Development, Program, Finance, and Executive Leadership, the Grants Manager is responsible for coordinating the day-to-day processes, timelines, deliverables, and systems that support the full grant lifecycle. The Director of Institutional Giving will provide strategic direction, supervision, and mentorship, while the Grants Manager will help keep the portfolio organized, compliant, and moving forward.
This is an exciting opportunity for an organized and collaborative nonprofit professional who thrives in a fast-paced, mission-driven environment and is interested in deepening their experience in institutional fundraising while supporting Greenwich House’s diverse health and human services, arts, and education programs.
Responsibilities
- Manage an institutional grants portfolio representing approximately 40–50 government contracts and private foundations, ensuring timelines, deliverables, compliance requirements, and internal stakeholder communications stay on track across the full grant lifecycle – from proposals and awards through reporting, renewals, and contracts.
- Monitor and research government and private foundation funding opportunities, including RFPs, assessing alignment with Greenwich House programs and funding priorities and supporting the Director of Institutional Giving and Executive leadership in evaluating potential opportunities using a go/no-go framework.
- Support the development and submission of proposals, letters of inquiry, reports, and renewals, contributing to written content as appropriate.
- Partner with Program teams to gather programmatic information and data, track benchmarks and progress, troubleshoot challenges over the course of a grant or contract, and translate program activities, outcomes, and data into clear, funder-facing materials.
- Establish internal deadlines with Program, Finance, Development, and other stakeholders to ensure grant materials and approvals are received on time and requirements are met.
- Work with Finance and Program teams to develop, monitor, and modify grant program budgets and support financial reporting and forecasting.
- Coordinate post-award grant and contract activities, including amendments, extensions, and budget modifications, in collaboration with internal stakeholders and funders as needed.
- Maintain accurate and timely tracking of prospects, opportunities, applications, awards, deadlines, and grant activity in Raiser’s Edge, including an organized institutional giving calendar to ensure proposal, reporting, renewal, and other key deadlines are clearly tracked and communicated.
- Maintain current organizational and programmatic materials required for applications, contracts, and reports, including tax documentation, organizational and program budgets, program materials, reports, and required leadership signatures and approvals.
- Manage government and foundation grant portals and contract management systems, including PASSport, OCFS, NYSCA, DCLA, OMH, and other relevant systems, ensuring submissions, documentation, and required updates are completed accurately and on time.
