About the role

The Digital Communications Officer is responsible for the management, maintenance, and performance of On Think Tanks’ digital platforms. This is an operational role at the heart of the team’s day-to-day work: ensuring content reaches the right audiences on time, platforms are functioning correctly, and the user journey across our digital presence is smooth and purposeful.

This person works closely with the Communications Manager (who sets strategy and editorial direction) and the Content Manager (who produces content), focusing on the technical, operational, and community-facing dimensions of our digital communications. In practice, this means publishing content, managing our platforms, looking after our communities, and keeping a constant eye on how our audiences are experiencing our digital spaces, flagging issues and proposing improvements where needed.

Although tasks are clearly distributed across the team, we work collaboratively: the Digital Communications Officer is expected to actively contribute to team discussions, share ideas, and support colleagues across functions when needed.

Key responsibilities

Social media and community platforms

Manage On Think Tanks’ social media accounts (LinkedIn, Twitter/X, Instagram, and others), scheduling, publishing, and disseminating content prepared by the Content Manager.
Manage the organisation’s community social media spaces (groups, forums, and membership platforms), ensuring timely posting, appropriate moderation, and active engagement.
Monitor interactions, respond to comments and messages as appropriate, and flag relevant activity to the Communications Manager.
Keep platform profiles, bios, and pinned content up to date.

Website Management

Administer and maintain the organisation’s website: uploading content, creating and updating pages, managing menus and navigation, and ensuring all information is current and accurate.
Conduct regular content audits to identify outdated, missing, or inconsistent information or navigation.
Coordinate with external web providers or developers when technical issues arise, serving as the primary point of contact.
Ensure the website is functional, accessible, and aligned with the organisation’s brand standards.

User journey and digital experience

Regularly audit and test the user journey across the organisation’s digital platforms (website, newsletter, social media, Patreon) to ensure a consistent, seamless experience for all audiences, engagement and conversion, also creating automated journeys where needed.
Identify friction points, broken links, inconsistent messaging, or accessibility issues and take corrective action or escalate as appropriate.
Propose improvements to platform structure, navigation, and digital touchpoints based on user experience observations and performance data.
Ensure that key audience pathways, from discovery to engagement to conversion, are functioning correctly and aligned with communications objectives.

Patreon and membership platforms

Manage and update the Patreon page: publishing posts, managing member tiers, and ensuring content is delivered to members on schedule.
Monitor members’ activity, manage the community’s interaction and engagement, and flag issues or opportunities to the Communications Manager.

Email marketing and database management

Manage the organisation’s Mailchimp account, ensuring the platform is correctly set up and functioning well.
Keep the contact database up to date: processing new subscribers, managing lists and segmentation, and maintaining data hygiene.
Troubleshoot delivery issues, unsubscribe requests, and bounce management on an ongoing basis.
Coordinate with the Communications Manager on audience lists for institutional communications, project newsletters, and initiatives.

SEO, advertising, and reach

Implement and monitor SEO best practices across the website and digital platforms to improve organic visibility.
Support the management of paid advertising campaigns (social media and search) to expand reach to new audiences and priority regions based on the strategies planned by the team.
Track and report on conversions and engagement resulting from organic and paid activity.

Jobs board and events calendar

Manage the organisation’s jobs board and events calendar: publishing listings, keeping information current, and removing outdated entries.
Coordinate with internal teams to ensure timely and accurate publication of opportunities and events.

Platform administration and access management

Maintain an up-to-date inventory of digital platform accounts, access credentials, and administrative permissions.
Ensure proper documentation and handover of accounts when team members change.
Coordinate with the Communications Manager on platform subscriptions, renewals, and tools.

Monitoring and continuous improvement

Collect and compile performance data from digital platforms (website traffic, social media reach and engagement, email metrics, Patreon) regularly.
Contribute to monthly or quarterly communications reporting, providing data and analysis to support the team’s review.
Propose and implement improvements to platform settings, publishing workflows, and digital user experience based on performance data and platform updates.
Stay up to date with platform changes, algorithm updates, new features, policy changes, and advise the team accordingly.

Required skills and experience

At least 3 years of experience in digital communications, community management, or equivalent role.
Experience managing organisational social media accounts across multiple platforms.
Experience with website administration (WordPress or a similar CMS).
Familiarity with Mailchimp or equivalent email marketing platforms, including list and database management.
Demonstrable experience using digital analytics tools and platform dashboards (Google Analytics, Meta Business Suite, or equivalent) to track performance and inform decisions.
Basic understanding of SEO principles and their practical application, including experience managing or supporting paid advertising campaigns.
Excellent organisational skills and ability to manage time. You will need to independently coordinate and oversee multiple platform tasks and publishing schedules simultaneously.
Ability to work independently (OTT has a fully remote team) and at the same time coordinate and collaborate with various team members.
A willingness to learn on the job and take advantage of new technologies and tools, including an entrepreneurial mindset towards continuous improvement of how we manage our digital presence.
Strong written and spoken English, this is the working language of the team and all communication outputs.
Experience with Patreon or similar membership and community platforms (desirable).
Experience managing paid social media or search advertising campaigns (desirable).
Knowledge of web accessibility standards.
Experience in the non-profit, think tank, or international development sector (desirable).
A second language (French or Spanish).

Remuneration

This is a part-time position (approximately 50% full-time hours), with a monthly remuneration of USD 950. The rate reflects both the scope of the role and our salary benchmarks for this type of position.
