Through grantmaking, convening, and providing guidance for philanthropy to strategically invest, the Moxie Fund works in three core strategies to counter emergent threats that undermine American democracy:
- Defense of Civil Society: Moxie Fund supports efforts to ensure that the American people, and the organizations and institutions that defend their rights, can function freely and safely.
- Protection of Our Elections: We support nonpartisan organizations in creating a more just, inclusive, and resilient democracy where American elections are voter-centered, secure, and trusted.
- Accountability for Assaults on Rule of Law: Moxie Fund supports groups that promote legal accountability for attempts to undermine rule of law, and that engage the public in understanding the importance of defending democratic norms and institutions.
About the Role
What You'll Do
The Moxie Fund is hiring a Program Assistant to support bold, high-impact work protecting and strengthening democracy. This is a hands-on, mission-driven role for someone eager to learn, take initiative, and make a real difference.
As a pooled donor fund, the Moxie Fund raises and deploys resources to organizations advancing democratic institutions. The Program Assistant supports day-to-day operations across fundraising and grantmaking, helping keep the team's work organized, responsive, and effective. You'll coordinate meetings, support communications with grantees and donors, and provide logistical support for program activities. You may also support events, manage incoming grants, assist grantee partners, and support consultant contracts.
The ideal candidate brings a strong commitment to building a more just and inclusive democracy, with a clear focus on racial and social equity; demonstrated project management and communication skills; the ability to juggle multiple priorities and meet deadlines; and a collaborative approach to working with diverse organizations and leaders.
Key Responsibilities
Logistics & Operations Management
- Be the behind-the-scenes force that keeps the co-Executive Directors and broader Moxie team running smoothly
- Coordinate logistics for meetings, convenings, and strategy sessions
- Manage calendars of upcoming events, including both internal meetings and external convenings and conferences
- Keep systems organized by maintaining shared files, documents, and communication tools
- Partner with IT consultants to support tech needs and strengthen digital security across the team
- Help bring events to life by supporting logistics for small- to mid-size convenings alongside consultant teams
Grants & Contract Support
- Assist in moving grant applications (tracking, contributions, gathering materials)
- Support grantees and contractors through application and onboarding processes
- Communicate grant and contract decisions to grantees and contractors with clarity and care
- Support donor and grantee coordination, including organizing external meetings and webinars, taking notes, and sharing key information across partners
Who You'll Work With
You will report to one of the two Co-Executive Directors.
You will frequently collaborate with Project Directors and staff.
Required Skills and Experience
- Demonstrated commitment to strengthening democracy, with a clear focus on racial and social equity
- Proactive, dependable, and eager to learn in a fast-paced, mission-driven environment
- Minimum of 2-4 years of professional experience, ideally in an administrative/operations role
- Strong organizational and project management skills, with the ability to manage multiple priorities and meet deadlines
- Excellent written and verbal communication skills, including comfort communicating with donors, grantees, and external partners
- Ability to coordinate meetings, events, and logistics across multiple stakeholders and timelines
- Detail-oriented and systems-minded, with experience maintaining shared files, calendars, and communication tools
- Comfortable working collaboratively with diverse organizations, leaders, and advisory groups
- Ability to track and support grant and contract processes, including applications, documentation, and follow-up
- Tech-savvy and adaptable, with experience working with digital tools and external IT or consultant partners

This role is fully remote and includes a limited amount of travel.
