Job Description
The Pacific Islands Heritage Coalition and hiring a flexible and remote Program Associate to support our team. Core responsibilities include:
- Stakeholder Coordination: Manage communication with scientists, cultural practitioners, ocean advocates, and key stakeholders.
- Content Creation: Write and edit content for internal and external communication.
- Travel Management: Arrange travel logistics, including flights, accommodations, and ground transportation.
- Meeting and Event Planning: Manage scheduling for meetings and events, including venue booking, catering, and logistics.
- Light Bookkeeping: Oversee billing tasks, process reimbursements, submit invoices, and track payments with our fiscal sponsor.
- Collateral Management: Coordinate the Coalition’s products and other marketing materials.
- Data Organization: Maintain and update online organizational files, spreadsheets, and shared documents.
Qualifications
We are looking for a proactive, organized, and resourceful individual who aligns with our core values. To be successful in this role, you should meet the following criteria:

- Mission Alignment: A deep respect for ancestral knowledge, community action, and Pacific ocean conservation.
- Technical Skills: Proficiency with Google Workspace platforms (Google Drive, Docs, Sheets, Calendar, etc.) and Zoom meetings is required.
- Preferred Tools: Prior experience using Mailchimp for email newsletters and communications is a strong plus.
- Experience: Prior administrative or program support experience handling the core responsibilities (e.g.invoice tracking, light accounting, scheduling meetings) listed above.
- Financial Literacy: Familiarity with light accounting, invoice tracking, or working with a fiscal sponsor.
Compensation & Location
- Retainer: $1,600 per month (estimated 10 hours per week), paid upon submission of a monthly invoice. 3-month contract to start; extended based on performance and coalition needs.
- Location/Type: Remote consultant. Candidates must be located in the Pacific.

We're a community-powered coalition, created in 2016, with a collective interest in protecting the natural and cultural heritage of Papahānaumokuākea.
Our strength lies in who we are: kupuna (elders), fishermen, educators, cultural practitioners, non-profits, community groups, scientists, religious organizations, veterans, and many others across the Hawaiian Islands, and beyond. Papahānaumokuākea in Hawai'i has one of the richest bipartisan conservation histories of any protected area on Earth. Over the past 120 years, eight U.S. Presidents have taken action to protect the area and its unique ecosystems and wildlife.
