We created and lead two of the largest nonpartisan private-sector coalitions in the country: the Health Action Alliance, focused on workforce health, and U.S. Business Action to End HIV, focused on mobilizing employers to help end the HIV epidemic. We also work with partners to design strategies, produce original research, and run accelerators and convenings that move business leaders from awareness to action.
Our work takes on issues where progress depends on getting the right people in the room — from women's health issues like menopause policy, to extreme weather preparedness, to workforce mental health. We build the structures and networks that make collective action possible, and we build them to last.
ABOUT OUR WORK
Alongside our coalitions, we build and run programs with individual clients and funding partners, including national nonprofits, healthcare companies, and foundations. Our work focuses on health topics that are top of mind for employers, and includes a variety of strategic programming, including original research, toolkits and resources, accelerator programs, and virtual workshops and webinars.
Each program has its own timeline, budget, and deliverables. Several run at the same time.
THE ROLE
Meteorite is looking for a Senior Program Operations Associate to run project management across our individual client programs. You will be the person who knows where everything stands: the details of the program, who is responsible for what, and when deliverables are due. Senior leads will count on you to track those details so they can stay focused on strategy, execution, and the client relationship.
The work suits someone who likes an organized, up-to-date Asana board and a well-built agenda, and who is a natural problem solver. You will track deliverables across several programs at once, prepare meeting materials, put together project estimates for proposed work, and keep our Asana boards and Google Drive organized.
WHAT YOU'LL DO
Your week will move between five areas, and the balance will shift depending on priorities.
Keep the Programs on Track: Own Asana for the programs you support. Build the project plans, break deliverables into tasks, assign owners, and set deadlines. Adjust complicated workback timelines when needs, priorities, or deadlines change.
Support Client Programs Directly: Join client calls, track decisions, and handle day-to-day coordination like scheduling, document sharing, and status updates.
Prepare for Meetings: Build agendas for internal and client meetings. Pull together the materials people need beforehand, take notes, and share next steps.
Put Together Estimates and Support New Business: Prepare estimate sheets for proposed projects, working with senior leads to scope hours, define deliverables, and price the work. Help assemble proposal decks when needed. Estimate staff time by project and help track it against budget.
Keep Our Systems in Good Shape: Maintain accurate records in Asana and Google Drive. Build and evolve templates and automations within these and other platforms.
WHAT YOU BRING
We are looking for someone organized, process-oriented, and happy in the details. The five qualities we are prioritizing are:
Organization and Follow-Through: You keep track of many moving parts without losing any of them. When you say you will handle something, it gets handled, and no one has to check. You bring three to five years of experience in project coordination, account or program management, or operations. Agency and consultancy backgrounds are a natural fit, though we care more about how you work than where you have worked.
Tech Fluency: You can build a project plan in Asana and keep multiple boards other people can refer to with trust. You know your way around HubSpot, Slack, and Google Workspace, and you learn new tech, like AI tools, fast.
The Ability to Work Across a Portfolio: You will support more than one program and more than one senior leader at a time. That takes judgment about what is actually urgent, the confidence to flag when two things cannot both come first, and the habit of keeping people informed.
A Process Instinct: You notice when something is being done the hard way and would rather build a better version than keep working around it. You write down what you set up, so the next person does not have to figure it out from scratch.
Clear, Careful Writing: Your agendas, recaps, and updates are clear and concise, and polished so we can share them with our clients.

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the salary that will be offered within this range takes into account a broad spectrum of factors, including, but not limited to, location, years of relevant work experience, education, and other relevant qualifications specific to the role.
